LeadCeleris
Salons, spas & beauty studios

From Instagram DM to salon booking

Your receptionist should not have to answer the same pricing question fifty times a week. Let AI explain packages and prices, then book the stylist and slot automatically.

WhatsApp Instagram Cal.com

How it works for salons and spas

The conversation flow a customer actually experiences, end to end.

  1. 1

    Customer asks about a service

A follower messages from an Instagram post or a WhatsApp click-to-chat link asking about a specific service, like keratin treatment, gel nails, or a couples massage.

  2. 2

AI explains packages, prices, and durations

The AI answers from your trained price list and service menu, including how long each service takes and whether add-ons are available, without the customer waiting for a callback.

  3. 3

It asks for preferred branch, stylist, and time

If you run more than one location or the customer has a favourite stylist, the AI asks so the right calendar gets checked before offering a slot.

  4. 4

    The appointment is booked

The AI shows real open slots from Cal.com and confirms the booking the moment the customer picks one, with no back-and-forth over which times are free.

  5. 5

    The customer receives confirmation

A confirmation message with the date, time, branch, and stylist is sent immediately, cutting down on the "did my booking go through?" follow-up messages your team used to field.

  6. 6

Staff take over for unusual requests

Group bookings, bridal packages, allergy concerns, or complaints are handed to a real team member, with the AI stepping aside for that thread only.

Setup guide

Everything you need to configure LeadCeleris for salons and spas, in order.

01

Connect WhatsApp and Instagram together

Link your WhatsApp Business number and your Instagram professional account under Channels. Both feed the same shared inbox, so a DM about a service and a WhatsApp price question get answered with the same trained knowledge and the same booking flow.

02

Train the AI on your service menu and pricing

Add every service with its price, duration, and any prerequisites (patch test required 48 hours before colour, for example) in the Knowledge Base. If you run branch-specific pricing, note that clearly so the AI never quotes the wrong branch's price.

Upload seasonal packages and offers as they change. Stale pricing is the single biggest source of awkward "that's not what the bot told me" conversations at the counter.

  • Full service list with duration and price
  • Branch addresses, hours, and parking notes
  • Patch test, deposit, or cancellation policies
  • Stylist specialties if customers can request someone by name
03

Connect Cal.com per branch or stylist

Set up Cal.com event types for each service category and, if useful, per stylist or per branch, so the AI only offers slots that are genuinely open. This is what turns a chat into a real booking instead of a lead you still have to call back.

04

Set qualification and escalation rules

Tag customers asking about bridal packages, group bookings, or high-ticket treatments as HOT so your booking coordinator follows up personally. Add escalation triggers for allergy mentions, complaints, or refund requests.

  • Pause AI on allergy or reaction mentions
  • Escalate group bookings above a size you set (for example, five or more)
  • Route refund and complaint keywords straight to a manager
05

Test like a first-time client, then go live

Run five test threads: a price question, a branch comparison, a same-day booking request, a reschedule, and a complaint. Fix anything that sounds robotic or quotes the wrong price before you route real Instagram and WhatsApp traffic through it.

Frequently asked questions

Can it handle bookings across multiple branches?+

Yes. Set up separate Cal.com event types or calendars per branch, train branch-specific hours and pricing in the knowledge base, and the AI asks which branch the customer prefers before showing availability.

What about last-minute cancellations and reschedules?+

The AI can pull up the existing booking and offer new available slots directly in the same WhatsApp thread, so customers do not need to call in to move an appointment.

Will it push products or upsell too aggressively?+

Only if you train it to. Most salons keep the AI focused on answering questions and booking the requested service, then let staff handle upsells in person where it lands better.
